Engaging Suppliers with Supplier Connect

Supplier Connect ensures the manufacturer sales reps are in the loop for any provider communications related to supply disruptions. Providers can add their sales rep emails which will ensure that the rep is aware of any  activity related to their company. As part of the standard processes for managing disruptions, the rep will be cc'd on any active recalls you create and respond to using NotiSphere.  It ensures the rep is aware of disruption activity while also letting them know that you are using NotiSphere.

Ensure the Supplier Sales Rep is Aware of Supply Disruptions

It is valuable for the Sales Rep to understand what type of recall or other supply disruption activity is occurring in your organization. Supplier Connect makes it easy for you to include your rep on all communications. Once a supplier rep email has been added within Supplier Connect, an email will automatically be sent to them indicating when you have created a new recall or when you have responded to an open recall. If the feature has been anables by the Administrator, it will be available to all Recall Coordinators and Responders.

Creating a Recall

When creating a new recall you will see the Supplier email populate in the supplier rep field automatically. It is important to use the standardized supplier names from the drop-down menu whenever possible as this will ensure rep emails will populate if available. Once you save the recall, the supplier rep will receive a copy of the recall. This is not the email for the response. You must still enter the recall response email found on the manufacturer documents to ensure the response is received by the supplier.  The rep email is for information only.

Note - The Supplier name must match the Supplier name listed in the Supplier Contact information.  If a contact has been loaded for a particular Supplier name, that supplier name should be presented as an auto fill option when typing in the Supplier Name

‍Sending a Response

After your administrator adds sales rep email, you will see the supplier rep email populated when you create the recall response.  You will still need to add the response email that is found on the manufacturer notification.  You may add any additional emails as desired.

Note - The Responder / Recall Coordinator will still include the email address specified on the response form in the Supplier Response Email address box.

  • Recall Events - Supplier Sales Reps will receive two informational communications. Once when the event is created by the Recall Coordinator and they will also be copied Recall Response documentation sent when the event is completed.

  • eR Response Users - Supplier Sales Reps will receive a copy of the Supplier Recall Response documentation when the event is saved and sent.

Examples

1 - Enter the Supplier name by using the drop-down feature.
2 - Supplier Rep emails area will automatically populate with contact emails if one exists for that Supplier in the Supplier Contacts area.

Including Your Sales Rep Information

Your NotiSphere team will upload your contact list on your behalf. Please include the following information for each sales contact you wish to add to your Supplier Connect profile:
  • Supplier Name
  • Sales Contact First Name
  • Sales Contact Last name
  • Sales Contact email
  • Sales Contact Title
  • Sales Contact phone number (optional)

View your Supplier Connect Contacts

Administrators may view their list of Supplier Sales Rep contacts under Organizational Settings --> Supplier Contacts. There Administrators can manage Contacts and monitor status of emails sent through the NotiSphere platform.
