Here are some basic steps for managing a product recall or supply event that a Supplier sent electronically through NotiSphere.
Acknowledge the Notification
Once a Supplier sends an event through NotiSphere, Recall Coordinators and Administrators associated with affected Sites will receive an email alert from notispherealerts.com.
The alert will include important information about the event as well as a link that will take the email recipient to the event details screen in NotiSphere. From there, the Recall Coordinator acknowledges receipt of the notification, telling the Supplier that the location received the notification. The Provider Recall or Sourcing Coordinator then can review the event details, make sure complete any required actions are completed, and respond to the supplier.
Respond to Actions Outlined in the Recall or Disruption Event
In the details of the recall or product event, the Supplier will list the actions they want your organization to take. Respond to the Supplier actions outlined within the NotiSphere event according to your organization's process. You may leverage workflow options if you would like to include other members of your organization in managing this event.
Communicate with the Supplier
Open the recall or the product event and use the Communications feature to send a message to the Supplier. You may have a question or want to request a credit. Communications provides an easy way to reach the Supplier without having to search for an email address or call Customer Service.
Attach Any Relevant Documents or Notes
Use the Recall Logs tab to enter any internal notes or attach any additional documentation relevant to the recall or supply disruption event. This information will be stored for future reference if needed.
Complete the Recall or Disruption Event
For Recall Events, once all actions are completed, click on the "Mark as Complete" button on the upper-right side of the screen and click "Confirm" in the confirmation pop-up window. This will notify the supplier that you have completed the necessary actions for the event.
